Plan capacity before you assign work

A reliable allocation process has four steps:

Where Paymo fits — and where it doesn't

Choose Paymo when the people you schedule are the same people who track time and bill clients. Bookings, timesheets and invoices live in one tool, so planning, tracked time and billing stay connected. Ghost bookings reduce setup work: task start and due dates appear on the scheduler as suggestions, and you convert one by entering hours per day. Several managers can edit the schedule at once, with changes visible in real time.

Consider Float instead when you need a dedicated resource scheduler and many stakeholders only need to look. Float charges only for people on the schedule, lets others view it as free guests, and includes capacity and time-off management on Starter ($7 per scheduled person per month, billed annually).

A worked example (illustrative)

Assumptions: three people share three projects next week. Ana and Ben have 40 hours each; Cara has 32 because of one day of leave.

  1. Add up bookings per person. Ana: 16 + 12 + 8 = 36 hours. Ben: 20 + 16 + 10 = 46 hours. Cara: 8 + 6 + 10 = 24 hours.
  2. Compare with capacity. Ben is 6 hours over; Ana has 4 hours free and Cara 8.
  3. Rebalance. Move 6 hours of Ben's Project A work to Cara. Ben: 46 − 6 = 40 of 40. Cara: 24 + 6 = 30 of 32.

Checklist before you decide

  4. Confirm tentative bookings weekly. Convert ghost bookings only once task dates are firm.
